IT Policy: Purchasing Your College-Issued Laptop

Purpose: 

To outline the process and conditions under which departing faculty, or staff may purchase their college-issued laptops. 

1. Eligibility 

- Individuals who are permanently leaving college (e.g., graduation, resignation, retirement) may be eligible to purchase their assigned laptop. 

- Temporary leaves (e.g., sabbaticals, internships, or leaves of absence) do not qualify for this policy. 

- Older equipment that is out of warranty can be purchased by employees based on the discretion of the IT Director.  

2. Device Eligibility 

- Only laptops that are at least 2 years old and no longer required for institutional use may be offered for purchase. 

- Devices must be in working condition and free of major hardware issues. 

3. Purchase Process 

  • Request Submission: Submit a formal request to the IT department at least 14 days prior to your departure. 

  • Device Evaluation: IT will assess the laptop’s condition and determine eligibility. 

  • Pricing: The purchase price will be based on: 

  • Age of the device 

  • Market depreciation 

  • Condition of the hardware 

  • Software licensing restrictions 

  • Approval: Final approval will be granted by the IT Director or designated authority. 

  • Payment must be made in full before the device is released. 

4. Data & Software Handling 

- All college-owned software and licensed applications will be removed prior to transfer. 

The device will be wiped and restored to factory settings, excluding institutionally licensed software which will be removed. 

- Users are responsible for backing up any personal data before the handover. 

5. Exceptions & Special Cases 

- Exceptions may be made for faculty conducting ongoing research or projects with institutional benefit. 

- Special pricing or waivers may apply in cases of financial hardship or for long-serving staff. 

6. Final Notes 

- The college reserves the right to deny any purchase requests. 

- This policy is subject to change based on institutional needs and inventory management.
