HUC provides employees with 2 TB of OneDrive for Business storage through their HUC Microsoft 365 account. For HUC work, always use your HUC-provided OneDrive for Business, SharePoint, or Teams storage, not a personal cloud-storage account.
Where should I save my file?
Is the file primarily for you?
→ Use your HUC OneDrive for Business
Your HUC OneDrive for Business provides 2 TB of storage allocated by HUC and is the recommended location for your individual work files, drafts, notes, documents, and other files you primarily manage yourself.
Do not confuse this with a personal OneDrive account. Make sure you are signed in with your HUC Microsoft 365 account when saving HUC files
Does the file belong to a department, committee, project, or team?
→ Use SharePoint or Microsoft Teams
Files that belong to the institution rather than one individual should be stored in the appropriate HUC SharePoint or Teams location.
Examples include:
- Department procedures and documentation
- Shared spreadsheets
- Committee documents
- Project files
- Forms and templates
- Files multiple employees regularly use
- Documents that need to remain available if an employee changes positions or leaves HUC
Do you need to temporarily share a work file?
→ Use HUC OneDrive for Business
Avoid emailing multiple copies of a document when possible. Store the file in the appropriate HUC Microsoft 365 location and share access to it.
Before sharing outside HUC, verify that the recipient and sharing permissions are correct.
Does the file contain sensitive or confidential information?
→ Use an HUC-approved protected storage location or secure workflow
Sensitive information may include:
- Social Security numbers
- Banking or financial information
- Tax or payroll information
- Credit card information
- FERPA-protected student information
- Other confidential personal or institutional records
Do not use personal cloud storage or personal email to store or transfer sensitive HUC information.
If you are unsure where sensitive information should be stored or how it should be shared, contact the HUC IT Helpdesk at techsupport@huc.edu before sending or sharing it.
Do not use personal cloud storage for HUC files
HUC institutional files should not be stored in personal accounts such as:
- Personal OneDrive
- Personal Google Drive
- Personal Dropbox
- Personal Gmail
- Other personal or unapproved cloud-storage services
Use the storage provided through your HUC Microsoft 365 account.
